Dortech Maintenance Ltd is a leading UK-based specialist in glazed building envelope maintenance and repair. With over 30 years of experience, we have a proven track record of providing high-quality services to clients in various industries, including commercial, education, healthcare and retail. Our expertise in glass and façade systems maintenance has earned us an excellent reputation and a loyal customer base across the country.

Position Summary:

We are seeking a Maintenance Coordinator to join our maintenance office team. This role is critical to ensuring the smooth running of our maintenance operations and requires a proactive, detail-oriented and customer-focused individual. The Maintenance Coordinator will work closely with our Site Engineers, Surveyors and sub-contractors, as well as interact with customers, suppliers and internal departments. The ideal candidate will have a strong background in coordination, administration communication and be comfortable working in a fast-paced environment.

Job Roles and Responsibilities:

  • Coordinate the delivery of glass and materials to various sites, ensuring timely and efficient delivery.
  • Manage the Site Engineers’ timetable, ensuring that they are allocated to the right jobs and that their schedules are optimised.
  • Negotiate with suppliers to ensure competitive prices and timely delivery.
  • Respond to inbound calls and inquiries from customers, providing them with excellent customer service and resolving any issues or concerns they may have.
  • Maintain and update various reports, including customer feedback, performance measures and maintenance records.
  • Collate and analyse data to identify trends, areas of improvement and opportunities for cost savings.
  • Flag and escalate any issues, risks, or concerns to the relevant stakeholders, ensuring that they are addressed promptly and effectively.

Required Skills and Qualifications:

  • A minimum of 2-3 years of experience in a coordination or administration role, preferably in a maintenance or construction-related field.
  • Excellent communication skills, both verbal and written, with the ability to interact professionally with internal and external stakeholders at all levels.
  • Strong IT proficiency, including experience with Microsoft Office and CRM systems.
  • Meticulous attention to detail, with the ability to prioritise and manage multiple tasks simultaneously.
  • Proactive approach to work, with a can-do attitude and a willingness to learn and develop.
  • Relevant qualifications or certifications in administration, coordination, or project management would be an advantage.

We also partner with Leeds based charity Candlelighters. Candlelighters are a Leeds based charity that look after kids with cancer and their families. We donate £10 to the charity for every job we complete worth £100 and over.

The Role involves:

  • To survey jobs and create reports for estimating
  • Talking to and meeting customers
  • Running jobs from start to finish making sure they run correctly
  • Producing Risk Assessments & Method Statements
  • Quality checking materials and deliveries for each project

Successful Candidate Attributes will include:
